Overview

This template checks AirDroid Business devices for stale location updates, then prepares an Excel report and Outlook summary when action is needed. It fits a repeatable operating process for teams that need to review location freshness, handle exceptions consistently, and send a clear follow-up to named recipients.

The Problem This Workflow Solves

Teams responsible for monitored devices need a reliable way to see whether location data is still updating, especially when a device is overdue, unavailable, or only partially matched by name. They also need to know which devices require attention, which scope entries could not be resolved, and whether a report or email should be sent.

  • Clear exception review. The workflow groups overdue, missing, and unable-to-check devices into one run result.
  • Defined follow-up. It generates an Excel report and Outlook summary when device-level issues appear.
  • Scope visibility. It separates unresolved device and group names from the device check itself.
  • Consistent handling. It returns a clear status when the scope, report, or email cannot continue.

Who This Is For

  • Device monitoring teams. They need to confirm whether managed device locations are updating within a defined threshold.
  • Operations teams. They use the report to review devices that need follow-up or status confirmation.
  • Teams managing named scopes. They need to check devices by all-access scope, device names, or group names.

What Sets This Workflow Apart

  • Scope validation. It checks the configuration first and stops before device reading if the setup is invalid.
  • Batch processing. It reads devices, groups, and exact IDs in batches to stay within tool limits.
  • Report gating. It creates the Excel file and verified read-only link before Outlook sends the summary.

How It Works

1
  1. Validate the run settings
  2. The workflow checks the scope choice, threshold, time zone, and recipient emails before any device data is read.
2
  1. Build the device scope
  2. It reads all devices or resolves selected device and group names, then expands matching groups into device IDs.
3
  1. Check location freshness
  2. It compares each device's last location update time with the configured threshold and classifies the result.
4
  1. Create the report and email
  2. When issues exist, it writes the Excel file, creates a verified OneDrive read-only link, and sends Outlook email.

What You'll Need

  • AirDroid Business access
    • An authorized connection must be available to read devices, groups, and location update data.
  • Microsoft Excel, OneDrive, and Outlook connections
    • Authorized connections are needed to create the report, share it, and send the summary email.
  • Scope and alert settings
    • You must select all devices or enter device and group names, set a 1 to 30 day threshold, and provide recipient emails.
  • Report time zone
    • You can optionally choose an IANA time zone for report timestamps; UTC is used when none is selected.

How to Use

  1. Step 1. Connect the required services
  2. Bind the AirDroid Business, Excel, OneDrive, and Outlook credentials needed for the workflow to read, report, and send.

  3. Step 2. Set the check scope
  4. Choose all devices or provide device names and group names for a custom scope, then enter the location threshold and recipient emails.

  5. Step 3. Review the run output
  6. Use the returned status, counts, report link, and email result to see whether the check completed, found issues, or stopped early.

FAQs

What happens if the configuration is invalid?
The workflow stops before device reading and returns the configuration error in the run result.
Can I check both device names and group names in one custom scope?
Yes. The workflow accepts both, merges them, and removes duplicate devices before checking.
When is the Excel report generated?
It is generated only when device-level issues exist. If only scope names are unresolved, the workflow sends the summary without Excel.
What if OneDrive sharing fails?
The workflow does not send the Outlook summary. It returns the sharing error so the run can be reviewed and repeated later.
